Section titled “Setup by Role”Every user goes through the same onboarding flow, but the choices you make depend on how you’ll use BuzzTrail. Here’s how three common roles approach setup differently.
Account Executive
Section titled “Account Executive”You’re client-facing and need your AI avatar to make a strong first impression on prospects. During avatar selection, pick one that matches the tone you’d want in a first meeting — professional, approachable, and confident. For your framework, MEDDIC is the natural choice if you’re running enterprise deals with multiple stakeholders and complex buying processes. If your sales cycle is shorter, BANT works well for quick qualification.
After signup, your company domain is already being crawled. Head to Configuration → Knowledge and add your pricing page, competitive comparison pages, and any customer case studies. These are the pages prospects ask about most. If you have a sales deck or product one-pager as a PDF, upload that too — it gives your AI specific talking points beyond what’s on your website.
Connect your calendar immediately in Configuration → Integrations. This ensures any meetings with video call links are automatically tracked. Then go to the Personal Link tab and copy your URL. This is your primary tool — add it to your email signature, paste it in outreach sequences, and include it in LinkedIn messages. When a prospect clicks your link, your AI avatar handles the discovery call while you focus on later-stage deals.
Consider enabling follow-up emails in Configuration → Integrations so prospects receive a summary after each AI meeting, keeping the conversation moving without manual effort.
Sales Manager
Section titled “Sales Manager”Your primary use case is notetaker mode — having AI join your team’s meetings to transcribe, analyze, and capture coaching opportunities. During avatar selection, pick any option you’re comfortable with (it matters less since you’ll mostly use notetaker mode). For the framework, choose whichever methodology your team follows so the AI’s analysis aligns with your qualification criteria.
After signup, focus on Configuration → Knowledge. Upload your sales playbook, objection handling guides, and ideal customer profiles as PDFs. Add your company website plus any internal wiki pages that are publicly accessible. This training data helps the AI provide better meeting summaries and identify when reps miss key qualification questions.
If your team uses a note-taking service for meetings, connect it in Configuration → Integrations. This imports historical transcripts as training data, giving the AI context on your team’s typical conversations and common prospect objections.
Your day-to-day workflow centers on the Dashboard and Conversations pages rather than the personal link. Review meeting transcripts to spot coaching moments, track which discovery questions your reps are covering, and use the analytics to identify patterns across your team’s calls.
Founder / Solo Operator
Section titled “Founder / Solo Operator”You’re the face of your company and want your AI to feel like a natural extension of your brand. Consider creating a custom avatar based on your own likeness — prospects who later meet you in person will recognize the continuity. For your framework, Challenger works well if you’re selling a novel solution that requires educating prospects, or choose Custom to define your own conversation structure.
After signup, add your company website, pitch deck, and any investor-facing materials as knowledge sources. Since you likely know your product better than anyone, upload documents that capture the nuances — technical FAQs, product roadmap highlights, and competitive positioning. The more specific the content, the more your AI sounds like you rather than a generic sales bot.
Go to the Personal Link tab in Configuration and customize it with your company logo and brand colors. If you have a website, grab the embed widget code to add a “Talk to us” button directly on your site. This turns your website into a 24/7 sales channel — visitors can start a conversation with your AI avatar anytime, even outside business hours.
Your setup is a balance of personal branding and knowledge depth. Spend extra time on knowledge sources early — the ROI compounds as your AI handles more first conversations while you focus on closing.
