Platform Overview

This guide provides a tour of BuzzTrail’s main features and where to find them. After reading this, you’ll know how to navigate the platform and what each section does.

Your dashboard is the command center for all meeting activity.

The top section shows any meetings currently in progress. Each card displays:

  • Meeting title and participant names
  • Current duration
  • Real-time transcript preview
  • Controls to view details or end the meeting early

Quick access to your most recent completed meetings. Click any transcript to review the full conversation with synced video playback.

Key metrics about your meeting activity:

  • Total meetings this period
  • Hours of conversation recorded
  • Upcoming scheduled meetings

The Meetings section manages your meeting schedule across three views:

Shows all scheduled future meetings. For each meeting you can:

  • See the scheduled date and time
  • View or edit the meeting URL
  • Change the bot mode (AI Avatar or Notetaker)
  • Configure recurring meeting settings
  • Remove the meeting from your schedule

Browse your meeting history. Filter by date range or search for specific meetings. Each entry links to its transcript.

Click the Add Meeting button to:

  1. Paste any meeting URL (Zoom, Google Meet, etc.)
  2. Select AI Avatar or Notetaker mode
  3. Set the scheduled time
  4. Save to your meeting list

Access and review all your meeting transcripts:

  • Full Text - Complete conversation with speaker labels
  • Video Playback - Click any line to jump to that moment in the recording
  • Presenter Selection - Assign correct speaker names if needed
  • Rate Responses - Thumbs up or down on AI answers to improve quality
  • Add Notes - Annotate specific moments for reference
  • Bulk Approval - Quickly mark multiple responses as good
  • Anonymization View - Toggle between original and anonymized text
  • PII Detection - See automatically detected sensitive information
  • Entity Marking - Manually mark company names, contacts, or other entities

Configure your BuzzTrail account across several tabs:

Select and preview the AI avatar that represents you in meetings.

Choose your sales methodology (MEDDIC, BANT, SPIN, etc.) or create a custom framework.

Connect your Google Calendar to automatically sync meetings. Toggle which calendars to monitor.

Train your AI with your company information:

  • Websites - Add URLs for the AI to learn from
  • Documents - Upload PDFs, presentations, and other files
  • Transcripts - Include past meeting transcripts as training data

Manage how sensitive information is handled:

  • View Rules - See active anonymization rules
  • Create Rules - Define patterns to automatically redact
  • Import/Export - Bulk manage rule sets

Control your subscription and usage:

  • Current Plan - View your subscription details
  • Usage - Track meeting minutes and credits
  • Payment Method - Manage how you pay
  • Limits - Set spending caps if desired

Your personal meeting link is a powerful way to accept meetings from anyone:

Copy your unique URL to share via email, website, or social media. Anyone with the link can start a meeting with your AI avatar.

  • Intake Form - Add fields to collect information before meetings
  • Branding - Upload your logo and set colors
  • Post-Call Redirect - Send guests to a specific URL after meetings end
  • Embed Widget - Get code to add a meeting button to your website

For accounts with team access:

Add and manage team members with appropriate permissions.

View aggregated meeting metrics across your team (available on premium plans).
