Connect Zoom AI Companion

Connecting Zoom brings your cloud-recording transcripts and AI Companion meeting summaries into BuzzTrail automatically, so your agent learns from your real conversations. Once it’s set up, past recordings are imported for you and every new recorded meeting flows in on its own — no manual export, no per-meeting steps.

This page is written for a Zoom account admin setting up the connection once for the team. You don’t need to be a developer, and you can finish it in one sitting. You’ll create a small read-only app inside your own Zoom account, paste a few values into BuzzTrail, and copy one address back into Zoom.

Everything stays in your workspace. BuzzTrail only ever reads your recordings — it never starts, changes, or deletes meetings. Nothing is shared publicly; imported transcripts become training material inside your own BuzzTrail workspace.

Before you begin

You’ll need:

• Admin access to your Zoom account (you’ll create an app in the Zoom App Marketplace — this needs an account owner or admin).
• A Zoom plan where these three settings are turned on, so recordings actually produce a transcript to import:
  • Cloud recording
  • Audio transcript (the automatic transcription of cloud recordings)
  • AI Companion meeting summaries (optional, but recommended — summaries come across as extra context)
• A few minutes and two browser tabs open side by side: your Zoom App Marketplace and your BuzzTrail Integrations page.

If any of the three settings above is off, turn it on in Zoom first (Settings → Recording and Settings → AI Companion). Without cloud recording and audio transcript, Zoom has nothing for BuzzTrail to read.

Step 1 — Create the Zoom app

1. Sign in at marketplace.zoom.us with your admin Zoom account.
2. Go to Develop → Build App.
3. Choose the Server-to-Server OAuth app type, then click Create.
4. Give it a name you’ll recognise later, for example “BuzzTrail”, and create it.

This app lives entirely inside your Zoom account and never leaves it. It’s read-only — it can only look at recordings you’ve already made.

Step 2 — Copy your three credentials

On the app’s App Credentials tab you’ll see three values. Keep this tab open — you’ll paste these into BuzzTrail in Step 4:

• Account ID
• Client ID
• Client Secret

Treat the Client Secret like a password — don’t share it outside this setup.

Step 3 — Turn on event notifications and copy the Secret Token

1. Open the app’s Feature tab and switch on Event Subscriptions.
2. Zoom shows a Secret Token for the app. Copy it — BuzzTrail uses it to confirm that incoming meeting alerts genuinely came from your Zoom account.

Leave the endpoint URL box on this screen empty for now — BuzzTrail gives you that address in the next step, and you’ll come back here to paste it in Step 5.

Step 4 — Paste the credentials into BuzzTrail

1. In BuzzTrail, open Configuration → Integrations and find the Zoom AI Companion card, then click Connect.

2. Paste in the four values you copied:

   • Account ID (from Step 2)
   • Client ID (from Step 2)
   • Client Secret (from Step 2)
   • Secret Token (from Step 3)

3. Save. BuzzTrail checks the credentials and then shows you a webhook URL — a unique web address for your workspace that looks like:

   https://api.buzztrail.ai/api/webhooks/notetaker/zoom/<your-unique-token>

   Copy this whole address. It’s specific to your workspace — don’t share it, and don’t reuse someone else’s.

Step 5 — Add the webhook URL and subscribe to two events (back in Zoom)

Return to the Zoom app’s Feature → Event Subscriptions screen:

1. Paste the webhook URL from Step 4 into the Event notification endpoint URL box.
2. Click Validate. It should turn green — this confirms Zoom can reach BuzzTrail. (If it doesn’t, see Troubleshooting below.)
3. Click Add Events and subscribe to exactly these two events:
   • recording.transcript.completed — fires when a recording’s transcript is ready. This is what brings your call transcripts in.
   • meeting.summary_completed — fires when an AI Companion summary is ready. This adds the summary as extra context.
4. Save.

Subscribe to only these two events — you don’t need any others, and adding more just creates noise.

Step 6 — Add the read-only permissions

On the app’s Scopes tab, click Add Scopes and grant only these read-only permissions. BuzzTrail needs nothing more:

These are all view-only permissions. If the Zoom screen offers a “write”, “admin”, or “delete” version of any of these, don’t pick it — BuzzTrail never needs to change anything in your Zoom account. The exact wording of each permission can vary slightly in the Zoom console; always choose the read / view variant.

Step 7 — Activate the app

On the app’s Activation tab, click Activate your app. That’s it — the connection is live.

What happens next

• Your recent past recordings are imported automatically. After you connect, BuzzTrail pulls in the transcripts from recordings you already have, so you don’t have to import them one by one. Large histories are brought in gradually in the background; they’ll keep appearing over the following minutes.
• New meetings flow in on their own. Whenever a future recording finishes and Zoom has its transcript ready, it arrives in BuzzTrail automatically — usually within a few minutes of the recording being processed.
• Summaries add context. When an AI Companion summary is available for a meeting, it comes across alongside the transcript as extra background.

Imported transcripts appear alongside your other meeting transcripts and become training material for your agent — helping it learn your conversational style, common questions, and typical responses. You stay in control of what’s used. See Transcripts for how imported calls appear once they arrive.

Troubleshooting

• The “Validate” button won’t turn green. Double-check you pasted the entire webhook URL from BuzzTrail (including the long token at the end) and that the Secret Token you pasted into BuzzTrail matches the one Zoom shows on the Event Subscriptions screen. If you regenerated the Secret Token in Zoom, paste the new one into BuzzTrail and try Validate again.
• Nothing is importing. Confirm that cloud recording and audio transcript are turned on in Zoom (Step “Before you begin”) — a recording with no transcript has nothing for BuzzTrail to read. Also confirm the two events from Step 5 are subscribed and the app is activated (Step 7).
• Only some meetings appear. BuzzTrail imports meetings that were cloud-recorded with a transcript. Local recordings and meetings recorded without transcription won’t have anything to import.
• A transcript is taking a while. Zoom finishes processing a recording after the meeting ends, so a transcript can take a few minutes to appear. If it’s been much longer, check the recording actually finished processing in Zoom.

Removing the integration

You can remove the Zoom connection at any time, two ways — either stops BuzzTrail from receiving anything further from Zoom:

• From BuzzTrail: go to Configuration → Integrations and click Disconnect on the Zoom AI Companion card. Ingestion stops immediately.
• From Zoom: if you connected with the one-click “Connect with Zoom” option, you can also remove BuzzTrail from Zoom → Settings → Installed Apps → BuzzTrail → Uninstall. Zoom notifies BuzzTrail, which then revokes the connection and stops all access to your Zoom data.

What happens to your data after removal:

• BuzzTrail immediately stops accessing your Zoom account and stops importing new meetings.
• Transcripts already imported stay in your workspace as training material — removing the Zoom connection does not delete them. To delete that content, remove it from your workspace’s training data (or delete the workspace), per our Privacy Policy.
• To pause new imports without fully disconnecting, remove the two event subscriptions in your Zoom app.
