Joining a Meeting

How guests join your BuzzTrail meetings.

The Join Flow

Guests receive your meeting link via:

  • Email invitation
  • Calendar event
  • Website embed
  • Direct message

Step 2: Pre-Call Setup

Before joining, guests:

  • Grant camera/mic permissions
  • Test their audio and video
  • Fill out your intake form

Step 3: Enter Meeting

After setup:

  • Meeting room loads
  • AI avatar appears
  • Conversation begins

What Guests See

Loading Screen

Brief loading state while:

  • Room initializes
  • Avatar connects
  • Systems synchronize

Welcome Message

AI greets the guest:

  • Uses their name from intake
  • Sets meeting context
  • Begins conversation naturally

Troubleshooting Join Issues

If guests can’t join:

  • Check link hasn’t expired
  • Verify browser compatibility
  • Ensure device permissions
  • Try a different browser
